Privacy Policy

This Privacy Policy explains how Kaelor Technologies LLC (“Kaelor”, “we”, “us”, or “our”) collects, uses, and shares information in connection with Bedside One (“Bedside”) - our platform for caregiving agencies and professionals, including the Bedside Admin web portal, the Bedside Caregiver mobile app, and this website at bedsideone.com (together, the “Service”).
Bedside One is provided to caregiving agencies and to the caregivers and administrators associated with them. If you use Bedside One through your agency, your agency controls much of the information in your profile, and your agency's own policies also apply to how it handles your information.
1. Information we collect
- Account information. When your agency creates a profile for you, or when you use the Service, we receive information such as your name, email address, phone number, role, and agency affiliation.
- Information you provide. Content and settings you enter in the Service, such as notification preferences, schedule and shift information, and messages you send to us (for example, support requests).
- Location information. When you clock in or out of a shift in the Bedside Caregiver app, the app collects your device's precise location at that moment and compares it with the client's address to confirm you are on site. Location is collected only at clock-in and clock-out, only while the app is open, and is never tracked in the background.
- Client care information. Caregivers record information about the clients they care for during a shift: vitals, medications given, care-plan tasks completed, shift notes, and appointments. Agencies also enter client profiles, including name, address, emergency contacts, care plans, and medication lists. This is health information about the agency's clients. The agency owns these records, and we process them on the agency's behalf to provide the Service.
- Usage and device information. Standard technical data collected when you use the Service, such as log data, IP address, device type, operating system, and app version, and, if you enable push notifications, a device token used to deliver them.
2. How we use information
- To provide, operate, maintain, and improve the Service.
- To manage accounts, shifts, and agency operations within the platform.
- To confirm a caregiver is at the client's address at clock-in and clock-out.
- To keep client care records on behalf of the agency that manages the client.
- To send service-related communications, including the SMS notifications described below, when you have enabled them.
- To respond to your questions and provide support.
- To protect the security and integrity of the Service and to comply with legal obligations.
3. SMS text messaging and mobile information
If you enable SMS notifications in the Bedside app, we send text messages such as shift clock-in and clock-out reminders, and shift change notifications. Enabling SMS notifications is optional and can be turned off at any time in the app, or by replying STOP to any message. See our Terms & Conditions for full SMS program terms.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties, excluding vendors and service providers who act on our behalf solely to deliver those messages (such as our SMS delivery provider).
4. Health and location information
Health information in Bedside One describes the clients an agency cares for, and location information describes where a caregiver was at clock-in and clock-out. We use both only to provide the Service to your agency. We do not use health or location information for advertising or marketing, do not sell it, do not share it with data brokers, and do not use it for research. It is visible to your agency and shared only with the service providers that host the Service. Agencies remain responsible for their own obligations under the health-privacy laws that apply to the client records they keep in Bedside One.
5. How we share information
We do not sell your personal information. We share information only:
- With your agency. Information in your profile and your activity within the Service is visible to the agency that manages your account, as part of how the platform works.
- With service providers. Vendors that help us operate the Service (for example, hosting, database, and message delivery providers), under obligations to use the information only to provide those services.
- For legal reasons. Where required by law, or to protect the rights, safety, and security of Kaelor, our users, or others.
- In a business transfer. In connection with a merger, acquisition, or sale of assets, subject to this Privacy Policy.
6. Data retention
We retain information for as long as needed to provide the Service and for legitimate business or legal purposes. Retention of agency-managed records may also depend on your agency's requirements.
7. Security
We use reasonable administrative, technical, and organizational measures designed to protect information against unauthorized access, loss, or misuse. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
8. Your choices
- You can enable or disable SMS notifications at any time in the app, or opt out of SMS by replying STOP to any message.
- For questions or requests regarding information in your agency-managed profile, contact your agency administrator. You may also contact us at support@bedsideone.com with privacy questions or requests. Some requests may need to be handled together with your agency, which manages your profile and agency records.
- Location. You control the app's location permission in your device settings. Clock-in and clock-out require it; the rest of the app works without it.
- Push notifications. You can turn them off in your device's notification settings, or in the app under Me, then Notifications.
9. Mobile app permissions
- Location (While Using the App). Confirming you are at the client's address at clock-in and clock-out.
- Face ID / Touch ID. Unlocking the optional app lock. iOS performs the check; the app never receives or stores biometric data.
- Notifications. Shift reminders and schedule changes.
- The app does not request access to your camera, photos, contacts, or microphone.
10. Children's privacy
The Service is intended for use by adults in a professional context and is not directed to children under 13. We do not knowingly collect personal information from children under 13.
11. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the effective date above and post the updated policy on this page. Material changes may also be communicated through the Service.
